What artwork files does a sign shop need?
Send the original logo files if you have them, along with approved wording and a photo of the installation location. A filename alone does not establish production readiness; the shop needs to inspect the artwork at the intended size.

Find the original, not just a screenshot
Look for the files delivered by your designer, including vector originals and any brand guide. A PDF can contain vector artwork, a small bitmap or both, so ask the shop to review it. If a screenshot is all you have, send it and discuss whether artwork recreation is needed before approving a production price.
Approve words separately from appearance
Provide business names, phone numbers, URLs and hours as typed text, then check them again on the final proof. Confirm which logo version and colors are current. Assign one person to consolidate corrections so different team members do not approve conflicting information.
Keep the final proof tied to the job
The approval should identify the sign or vehicle, dimensions, placement, quantity and artwork version. Review how the design works on the actual surface rather than approving only the isolated logo. Ask what production files and approval records will be retained for future replacement or expansion.
